Buzzstream is an outreach and link-building software that allows you to easily find and manage contacts, organize your outreach campaigns, and measure your success. General overview of main buttons and functions
In the high left corner, you can find the name of the media project. If you want to choose the other project (Legit.ng, TUKO.co.ke, or YEN.com.gh), click the name and choose the one you need.
Projects icon (on the left side panel). If you click it, you will see your Outreach List, which contains all the websites of media, their type, relationship status, tags, BPF (blog post frequency), DA (Domain Authority), Preferred Contact Method, Email, Phone, Overall Rating, etc. You can add or delete certain columns by clicking Configure Columns right over the table.
Mailboxes and Tasks. It allows you to manage all of your conversations
Links. It allows you to monitor link building from successful placements.
Reporting. It enables users to generate detailed reports on outreach campaigns, including metrics like open rates, reply rates, and click-through rates.
Projects Home. It shows all your information in the form of convenient graphics.
Latest Updates. It shows the latest updates on the platform.
Settings. It contains profile information and account settings.
How to add a new site/journalist to a media list
Buzzstream’s contact management features are handy when managing and organizing your contacts effectively. You can easily store and organize your contacts, including their contact information, social profiles, and notes about your interactions.
Building Your Outreach List
Finding Influencers and Bloggers
BuzzStream makes it easy to find and connect with influencers and bloggers relevant to your industry. Use the built-in search tools to discover potential contacts based on keywords, industry, or location. You can also import lists from other sources to expand your outreach.
Click the button ‘Research Lists,’ where you can create or upload a list of prospects that you can then approve or reject according to whether or not they meet your requirements. Those that are approved get to the 'Outreach List.'
There are 3 ways to create the research list:
web search (similar to those made by Google);
news search (the platform finds articles by keywords you provide);
*Change search phrases that cause irrelevant results to come up.

As you get the list generated from the platform, you can approve, reject or block the media or news option if it’s irrelevant to you. If you approve media, it will be moved to the Outreach List. If you block the media or news, you will never get this option again in further searches.
If you need additional research on the given media before approving them, tick the media you want to take a look at, go to ‘Research' on a toolbar and choose the option ‘Review on the Web.’ After choosing the number of media you’ve chosen, click Continue.

This is an extra (fourth) method to complement your Outreach List. First, you need to upload this extension to your Google Chrome. Go to Settings, choose the Chrome Extension option, and install BuzzMarker for Chrome.
Now, let’s complement our media list by hand.
Click the button ‘Projects,' find ‘Add Websites,’ and choose 'Import from CSV’ from the list.
Choose the option “Paste List of URLs“ and copy the link(s) of the media you want to add
Organizing Contacts with Tags. Tags are a powerful way to organize your contacts in BuzzStream. Create tags based on categories such as industry, relationship status, or campaign type. This allows you to filter and sort your contacts quickly, making it easier to manage large outreach lists.
4. Setting Up Contact Details. Ensure that each contact’s details are accurate and up-to-date. Include information such as email addresses, social media profiles, and notes on previous interactions. Detailed contact information helps you personalize your outreach and build stronger relationships.
Organizing Contacts with Tags
Tags are a powerful way to organize your contacts in BuzzStream. Create tags based on categories such as industry, relationship status, or campaign type. This allows you to filter and sort your contacts quickly, making it easier to manage large outreach lists.

Pitching
We will start with the Outreach List tab. Here it’s important to keep track of the Relationship Status column.
When you send an email the relationship status will be automatically changed to Attempting to Reach.
When you get a reply, the status will automatically be changed to Replied.
As you have selected the needed media to reach out to, go to the toolbar and click 'Outreach.'
Choose the Send Individually option, which allows you to tailor each email according to the relationship background with the journalist or any other specific information that you want to include to ensure your email will have a higher chance of being opened.
After that, Buzzstream will suggest you choose Sequences that you have created before or that you can create at the moment. Sequences are different variants of pitch you want to try to make A/B testing of to see what subject line or pitch itself works better.
Later, you will be able to see the number of pitches sent, and the percentage of opens, clicks, and replies.
How to create an email
As mentioned before, you need to create a sequence either beforehand or right before the pitch being sent.
As you create your sequence, you will notice that on the right-hand side, there are Dynamic Fields, such as the [Greeting] field or [First Name] that you can add to the body of your sequence (email) and it will automatically personalize with details from my contact.
With the ability to track opens, clicks, and replies, you can see the success of your outreach campaigns in real-time, and adjust your approach accordingly.
How to set up follow-up letters
By clicking “+” in the right corner of your letter, you will see the extra space beneath to create a follow-up letter. There it will be possible to choose whether you want it to be sent automatically after a certain time or you want to be reminded to do it by hand in a couple of days.
As the email is ready, you can start outreach by personalizing each email for the contacts from your list.
