Media list. How to add a new site/journalist
Buzzstream’s contact management features are handy when managing and organizing your contacts effectively. You can easily store and organize your contacts, including their contact information, social profiles, and notes about your interactions.
Adding websites and journalists
BuzzStream makes it easy to find media relevant to you. However, you can import your existing contacts to start with the media list.
To do this, click Add Websites - Add from List of URLs - paste the links you want to add - click add Websites. Check the video below for details.
Now you have the list of your websites, the next step is to organize them in a way that will make your work easier.
Add Recipient: indicate the email or emails that you will be using for outreach to this media house.
Set Media type. Is it a news website, or a media organisation? You can pick for the dropdown list. In case your contact doesn`t fall to any of types, feel free to create one by clicking at edit options.
Set Relationship Stage depending on what is the status of our relationship with the media house.
Add preferred contact method. It can be email, phone or social network. Keep in mind that this is the preferred method for the contact, not your own.
Organize Contacts with Tags. Add tags based on categories such as industry, relationship status, or campaign type. This allows you to filter and sort your contacts quickly, making it easier to manage large outreach lists.
How to Choose Tags and Create New Ones
Among all these tags, there's a tag named 'Tags', which we will use to mark the purpose we can pitch this media or journalist with.
Here are some of the tags we will be using:
awards (for cases when we pitch our achievements - receiving awards, being recognised by media organisations etc)
special ent project
special business project
CSR
pitching speaker
op-eds
Here is how you can quickly add a tag for the media/contact.
Open the contact card - click Add tags - insert your tag - click Done. Check the video below for details.
Buzzmarker. Bookmarking any prospect that you find while browsing

This is an extra method to complement your Outreach List. The tool helps you quickly add websites to the list form their webpages. You can add all relevant information right away, including contact details, tags, website type without need to go to Buzzstream and do that manually.
Pitching via Buzzstream
We will start with the Outreach List tab. Here it’s important to keep track of the Relationship Status column.
When you send an email the relationship status will be automatically changed to Attempting to Reach.
When you get a reply, the status will automatically be changed to Replied.
As you have selected the needed media to reach out to, go to the toolbar and click 'Outreach.'
Choose the Send Individually option, which allows you to tailor each email according to the relationship background with the journalist or any other specific information that you want to include to ensure your email will have a higher chance of being opened.
After that, Buzzstream will suggest you choose Sequences that you have created before or that you can create at the moment. The sequences tab is where you can save all the pitches that you’re gonna use for different informational occasions.
Later, you will be able to see the number of pitches sent, and the percentage of opens, clicks, and replies for each sequence.
How to Create an Email
As mentioned before, you need to create a sequence either beforehand or right before the pitch is sent.
As you create your sequence, you will notice that on the right-hand side, there are Dynamic Fields, such as the [Greeting] field or [First Name] that you can add to the body of your sequence (email) and it will automatically personalize with details from my contact.
How to Set up follow-up letters
By clicking “+” in the right corner of your letter, you will see the extra space beneath to create a follow-up letter. There it will be possible to choose whether you want it to be sent automatically after a certain time or you want to be reminded to do it by hand in a couple of days.
Plan your follow-ups according to the 3-3-7 formula:
1st follow-up in 3 days
2d follow-up in another 3 days
3d follow-up in 7 days
